Position Summary
We seek an Executive Operations Assistant to support our CEO and Director of Business Operations. Our ideal candidate is organized, proactive, and eager to take on new challenges daily. Experience in events or hospitality is a plus. This role does require periodic evening and weekend work due to the nature of our industry, but we offer Flextime scheduling and Discretionary Time Off to ensure excellent work-life balance.
Growth Path: Chief of Staff Track
As a rapidly growing, multi-division company, this position is intentionally designed to grow into a Chief of Staff role within 1–3 years. As the Executive Operations Assistant develops expertise, demonstrates strong judgment, and builds relationships across departments, they will gradually take on greater responsibility in:
Strategic and operational planning
Cross-department communication and alignment
Executive project ownership and follow-through
Representing and supporting the CEO in internal and external initiatives
Job Duties
Objectives
Support the CEO and Director of Business Operations through calendar management, communication management, and task prioritization.
Coordinate administrative functions to support smooth operations and a high‑hospitality environment.
Maintain an organized, efficient, and welcoming office space.
Responsibilities
Executive Support
Manage calendars, meetings, and appointments.
Handle email management for the CEO, DBO, and shared inboxes.
Draft correspondence and manage CEO social media accounts (Instagram, LinkedIn, Facebook).
Run business and personal errands as needed.
Mitigate operational or client-facing issues, escalating when appropriate.
Provide general administrative support as assigned.
Meetings & Communication
Prepare agendas, materials, and spaces for leadership and team meetings.
Take meeting minutes and ensure action items are followed.
Conduct research and compile documents for CEO and leadership review.
Respond to inquiries from staff, clients, and the public through email, phone, or web forms.
Purchasing, Vendors & Office Operations
Coordinate all administrative purchasing and vendor procurement.
Maintain relationships with current suppliers and research new vendors.
Hold and manage company credit cards; reconcile credit card statements.
Complete weekly inventory and facility checklists; order supplies or run errands as needed.
Maintain a clean, stocked, and welcoming office environment.
Greet visitors with high hospitality.
Coordinate conference room reservations and office subleases.
IT Coordination
Assist new hires with IT onboarding.
Support staff when IT issues arise and maintain technology inventory.
Liaise with software providers; assist with new software or tool implementation.
Business Operations & Special Projects
Oversee High Spirits Overnight (short-term rentals): guest communication, cleanliness, vendor coordination, and basic bookkeeping review.
Assist with preparation for major events and festivals, including scheduling, vendor procurement, and supply ordering.
Make travel arrangements for team members.
Coordinate licensing, compliance, document storage, and audits.
Delegate tasks to team members and follow up to ensure completion.
Support all divisions as needed and assist with special projects.
Event Support
Work an average of 10–15 events per year, typically in a leadership support capacity at major events and festivals.
Attend required networking, training, and development sessions.
Foster the High Spirits culture through active engagement in our management and event teams.
Expectations
Attend and be prepared for all staff meetings, training, and retreats.
Manage competing priorities with accuracy and efficiency.
Provide exceptional customer service to clients and guests.
Demonstrate strong communication, organization, and critical thinking skills.
Handle high-stress situations with professionalism.
Use sound judgment to make decisions within defined authority levels, escalating only when needed.
Maintain strict confidentiality regarding sensitive company, client, and personnel information.
Submit financial receipts promptly and monitor administrative budgets.
Maintain proficiency in software tools including Microsoft Office, QuickBooks, Airtable, Staffmate, Slack, and others.
Work in-office Monday–Friday, 8:30–5:00 with periodic evenings/weekends as required.
Typical Schedule
This position primarily works in-person at our office Monday-Friday 8:30-5:00 pm with a 30min-1hr lunch. Periodic evening and weekend work will be required, especially in the busier months. Our pay period runs Wednesday through Tuesday, and we give you the flexibility to take time off during the week if you worked that weekend. This position has some seasonality, with our high season being April-June and September-December.

Job requirements
3+ years of experience in a relevant role.

Should demonstrate remarkable leadership skills.
Familiarity with tools such as Microsoft Office, Airtable, QuickBooks, Staffmate, Slack, and general office software is preferred.
Should demonstrate good written and verbal communication skills.
Should demonstrate exceptional organization, analytical, and problem-solving skills.
Must be willing to work periodic nights and weekends.
Must be able to read, write, and speak fluent English.
Must be at least 21 years of age.
Must have a valid driver's license and have your own vehicle. There will be daily travel for errands and appointments.
Must be able to lift, move, and carry 25+ lbs.
High School diploma or GED required. A college degree is NOT a requirement for this position.
Must have a clean criminal history.
